PowerCase’s Incident Administration (IA) module..

..provides complete support for the creation and management of investigations role creation and configuration, and user assignment. Using IA, PowerCase can be configured to represent multiple Law Enforcement Services (and their internal Divisions/Units).


These organisational “nodes” within the PowerCase installation can then be independently managed by their own administration staff (i.e. cases created, staff added/removed, roles configured and assigned), but restricting access to any other agencies case area. IA also allows administrators to generate audit and system reports, archive/seal/restore incidents, update lookups and x-references, make bulk changes to user assignments (e.g. when staff leave or are unavailable for extended periods), and many other admin tasks.
Document and Record Management

PowerCase stores all of your documentary evidence – witness statements, officer reports, tips and messages, seized property reports, canvass (house-to-house) reports, personal description forms – in one secure central database. Documents enter a task-based workflow where the document is registered, indexed, reviewed, assessed for disclosure, etc. ensuring all information is processed in a consistent, objective manner.

Outside of PowerCase, documents and multimedia can also be created using Xanalys Capture and PowerCase Mobile (see below).  Xanalys Capture is a light-weight form application that can be used when access to a PowerCase session is not possible. Capture saves forms as XML files which can be uploaded into PowerCase with no rekeying of data. Multimedia files such as images, video, additional documents can also be attached to these forms.

Indexing & Research

One of the main workflow steps a document undergoes is “indexing”, the identification and extraction of entities and associations from document text. PowerIndexer is Xanalys’ entity extraction technology that automates this process to add efficiencies to this task.

Information extracted through the indexing process is “researched” to compare it with existing case data. PowerCase identifies potential matches to existing database records to ensure that data isn’t replicated. The research process also identifies hidden associations in the data and is therefore a key analytical capability.

Exhibit Management

For any property and other exhibits that are seized during an investigation, PowerCase provides the tools to create entities to represent these items and track them through their case lifecycle.

Search and Analysis

Full free text search across all PowerCase documents, object and attachments, both within and across cases, ensure you find the information you need quickly and efficiently.

Additional search techniques support data matching (“research forms” for each PowerCase record type), multi-object search (e.g. male 30 – 40 y.o. associated with an address in Springfield OR a red car) and associational search give users the ability to construct even the most complex query types.  Authorised users also have access to conduct case audit queries to determine user activity and record history.

All records in PowerCase – documents, actions, objects (people, locations, events, telephones, etc) – are represented in a graph structure, making it easy to exploit using analytical tools such as link analysis and timeline analysis.

Action Management

New Actions are generated as part of the information processing workflow – new lines of enquiry are created and then allocated by the Action Manager (and other qualified roles) to investigative staff for follow-up.

PowerCase has a full Action Management module which follows the progress of actions from the moment they are created, through to their completion and assessment for Disclosure. Actions can also be referred, filed or pended.

Actions are a central part of the provenance chain that is automatically created via the PowerCase workflow – documents create actions which in turn generate new documents.

Out in the field, PowerCase Mobile allows Officers to receive and review their assigned Actions, then create new documents and exhibits (e.g. officer reports, statements, House-to-House reports) which can be securely uploaded directly from the scene, with no re-keying of information. These new resulting documents are stored in the PowerCase database and will automatically appear on a Task List, ready for immediate processing.

Case Preparation

Case preparation can be an intimidating task, especially in large investigations where vast numbers of documents, actions, exhibits and various multimedia files have been assembled.

PowerCase provides case preparation facilities to ensure disclosure decisions are processed and recorded accurately, and your investigative information is compiled and assembled promptly, and in the appropriate format required, for any business area (e.g. prosecution).

Xanalys eBrief is integrated into the PowerCase platform to generate a range of documents (and document tree structures) from your collection of evidence. Briefs of Evidence, Witness Lists, Statements, Disclosure Schedules (MG6) can be automatically created in an electronic format that is easy to distribute and process using other tools (e.g. PDF generation).

eBrief uses open standards such as web services, XML and XPS to allow for easy customisation of generated reports using commonly available XML tools.
